Building Your Trip Itinerary
The Itinerary tab lets you build a detailed, day-by-day schedule for your trip. Team members can see the plan at a glance, so everyone knows what to expect each day on the field.
Generating Days
When you first open the Itinerary tab, you can auto-generate days based on your trip's start and end dates:
- Click Generate Days to create a day entry for each date of the trip.
- Each day will be labeled with the date and a day number (Day 1, Day 2, etc.).
- You can also add individual days manually if your trip dates change or you need extra planning days.
Generated days start empty — you'll add activities to each one to build out the schedule.
Adding Activities
Each day can have activities organized into time blocks:
- Morning — typically devotions, team meetings, and the main ministry work.
- Afternoon — continued ministry, site visits, or free time.
- Evening — team dinners, worship, debrief sessions, or rest.
For each activity, you can set:
- A title and description of the activity
- Start and end times
- Location or venue name
- Any special notes (what to bring, dress code, etc.)
Copy Day Feature
Many mission trips follow a similar pattern across multiple days. Instead of re-entering the same activities:
- Set up one day as your template with all the activities you want to repeat.
- Click Copy Day on that day.
- Select which other days should receive the same schedule.
- The activities will be copied to the target days. You can then adjust individual days as needed.
This is especially useful for work days that follow the same routine — set it up once and copy it to all your on-site ministry days.
Adding Notes & Details
Each day has a notes section where you can add important information:
- Packing reminders (sunscreen, work gloves, modest clothing)
- Cultural tips or language phrases for the day's activities
- Contact information for local partners or hosts
- Contingency plans in case of weather or schedule changes
Sharing the Itinerary
Once your itinerary is built, team members can view it from their trip dashboard. The itinerary is read-only for non-leaders, so members always see the most up-to-date version. Leaders can continue editing the itinerary right up until (and during) the trip.
Consider finalizing the core itinerary at least 2 weeks before departure and communicating any changes to the team promptly.
